PTO EXECUTIVE BOARD

 

President-Elect (Vice President): Supports the upcoming President in any/all areas needed, preside over meetings and make decisions in the absence of the president, support compilation of budgets and annual audit, as well as chair the nominating committee. 

 

Grade Level Coordinator (formerly Room Parent Coordinator): Coordinate and manage all individual grade level coordinators & room parents (K-4): disseminate any/all necessary information and announcements to said coordinators/room parents, plan the winter & spring class parties, etc

 

Fifth Grade Coordinator: Responsible for all 5th grade activities and events including the grade level room parent coordination (supporting the teachers, fall festival basket coordination & winter party needs) as well as 5th grade specific events. This includes the 3:07 club, end of year awards day and slide show, ordering the 5th grade tshirt, coordinating candy sales & volunteers, 5th grade talent show act & volunteer staffing, and planning the end of year celebration. 

 

Secretary: attend all PTO meetings and take meeting minutes, distribute monthly PTO newsletter, develop meeting agendas, and ensure alignment to the bylaws. 

 

Treasurer-Elect: work closely with the Treasurer  to receive & disperse PTO funds, keep accurate records of receipts & expenses & ensure bills are paid in alignment to the budget. Work with President to finalize annual budget and ensure monthly statements are presented during each PTO meeting. This position will serve as Treasurer the following year.

 

Fall Festival Chair: This position will oversee the Fall Festival Committee and will serve as the liaison between school administration and faculty for all matters related to Fall Festival.

 

Technology Coordinator: hosting the virtual PTO meetings, maintaining and updating the PTO website, Givesmart account, Sign Up Genius, and Social Media accounts.



COMMITTEES

Each committee will have a Committee Chair & sub-committee positions. 

  • Academic Enhancement Committee Chair: This committee will work closely with arts, media center, and the teacher/faculty liaison to help with various events that the school puts on (i.e Author Day) as well as be available in case the enrichment teachers need any extra help/support during the year.
    • Arts - This position will help hang artwork and assist with fall festival grade level art pieces, and be available to assist as needed or requested by art teacher
    • Media Center - This position will help coordinate volunteers for Grandpal's Day and Famous Author Day and be available to assist as needed or requested by the librarian/media center team.
    • House System - This position will help administration with various tasks related to the House program such as t-shirt ordering, decorating for House Selection Day, etc.
  • Fall Festival Committee: This committee is responsible for anything and everything needed to ensure that we have an amazing Fall Festival! This event is the school's main fundraiser for the year.
    • Volunteer Coordinator- This position is responsible for recruiting volunteers for the day of the festival to help out with games, rides, bake sale, walks, etc. This position will work with the Room Parent Coordinator and Room Parents to ensure coverage of stations throughout the festival.  
    • Vendor Coordinator - This position is responsible for working with vendors to secure necessary items such as rides, t-shirts, food and additional entertainment.
    • Silent Auction/Fundraising Coordinator: This position is responsible for securing corporate sponsorships, securing donated items, and setting up the Silent Auction on the Givesmart platform. This position will work closely with the Fundraising Chair and the Technology Coordinator.
    • Basket Display Coordinator: This position is responsible for collecting the items donated by families and arranging the Silent Auction basket displays in the gym on the Wednesday and Thursday prior to Fall Festival. This position will work closely with the Silent Auction Coordinator.
    • Bake Sale Coordinator: This position is responsible for collecting baked goods donated by families and setting up the Bake Sale in the cafeteria on the Friday afternoon before Fall Festival. 
    • Games Coordinator: This position is responsible for the cleaning, set up, and breakdown of the games operating in the Courtyard during the festival. 
  • Hospitality Committee Chair: This position is responsible for creating a warm, caring and hospitable environment for our faculty, staff, and students through catered food & treats in the teachers lounge, sprucing up common areas around the school and hosting the monthly birthday table.
    • Benevolence - This position will work with administration & PTO board to ensure support of faculty & staff in the event of a hardship or personal family tragedy by arranging any cards, flowers or contributions to staff members of Hall Kent family as the need arises.  
    • Birthday Table - This position coordinates the monthly distribution of cupcakes or other birthday snacks for the Hall Kent students as they celebrate birthdays. On the last Thursday of each month, the PTO will host a birthday table outside of the lunchroom during lunchtime (10:45am-12:45pm) for all students with a birthday during that month. 
    • Teacher’s Lounge - This position will plan and coordinate the monthly meal for the teachers and staff. You will work with the treasurer to gather donations from grade levels for a catered meal, order, pick up and set up the lunch in the teachers lounge each month. This position is also responsible for the ‘stock the fridge’ initiative during conference times and/or as needed. 
    • School Beautification - This position is responsible for ensuring our school is always looking its best and going the extra mile to support our custodial & administrative staff with replacing and caring for live plants by the entrances, supporting various events with additional decor (i.e balloon arches or yard signs on the lawn) and occasionally placing a floral arrangement in the office, workroom, or entrance area. 
  • Events Committee Chair: Throughout the school year, the PTO will host various events that serve as both fundraising opportunities and fun activities for our Hall-Kent students, families and the community. This committee is responsible for planning, coordinating, and executing the following  events:
    • Meet the Teacher - This position will assist with organizing and securing volunteers to help guide parents and students through the school during this yearly event and working the PTO supported tables (spirit store, car tag and planner tables). 
    • Talent Show - This position will coordinate the annual Hall Kent Talent Show which includes selecting the act for the show through auditions, creating show line-up, arranging all music, coordinating lighting and sound design, printing the program, ticket sales and directing and stage managing the dress rehearsal and show. Duties also include coordinating with the 5th Grade Coordinator on the 5th Grade opening act (hiring a choreographer if necessary). 
    • Color Run - This position is responsible for planning and organizing the run including ordering shirts, signs, chalk supplies, etc. and ensuring we have any necessary entertainment (DJ, food truck, etc) during the event  
  • Yearbook Committee Chair: The yearbook coordinator oversees all aspects of the yearbook throughout the year. Duties include taking and collecting pictures from parents and teachers, organizing and designing the yearbook, and facilitating yearbook sales & distribution.  

 

  • Kindergarten Chair: This position is responsible for coordinating a welcome event for the new Kindergarteners and parents, like Popsicles at Patriot Park, in coordination with Meet the Teacher and distributing yard signs for rising Kindergarteners.

  

  • Fundraising Committee Chair: Assist with initiatives to help raise funds for Hall Kent for the successful execution of programs and events throughout the year.  
    • Community Spirit Night - This position will identify and recruit local restaurants and businesses to host a Spirit night/day event for our school. Work with them to select a date and promote the Spirit night to our students & families. 
    • Rebates - This position will identify and manage creative ways of additional fundraising for our school such as Amazon Smile program, Box Tops for Education, etc. 

 

 

 

** Room Parent Coordinators (K-4): Each grade level will have its own coordinator that is responsible for ensuring that all room parents are aware of and sending out announcements, working closely with their teachers as needed, and will also be responsible for planning an age appropriate craft during the winter party for their classes. These coordinators will work directly with the Grade Level Coordinator. Parents will have the opportunity to sign up for these positions, as well as room parents, at the start of the new school year.
